1. Who we are

Classroom Media (“we”, “us”, “our”) is a UK-based videography company providing professional filming services to schools across the United Kingdom. For the purposes of UK GDPR and the Data Protection Act 2018, we act as a data controller in respect of our website visitors and direct enquiries, and as a data processor when filming on behalf of a school.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Contact details — name, school, role, email address and phone number when you submit an enquiry form or email us directly.
  • Project information — details about your school, event and filming requirements provided during scoping conversations.
  • Consent records — parental opt-in or opt-out responses collected through our digital consent platform, including timestamps and pupil identifiers supplied by the school.
  • Footage and stills — video and photographic material captured during commissioned shoots.
  • Technical data — standard website analytics such as approximate location, device type and pages visited, collected to keep the site secure and functioning correctly.

3. How we use your information

We use personal data to:

  • Respond to enquiries and provide quotes.
  • Deliver commissioned filming projects and edited films.
  • Manage parental consent and ensure pupils without consent are digitally removed or obscured from final films.
  • Operate and improve our website.
  • Comply with our legal, safeguarding and regulatory obligations.

4. Lawful bases

We rely on legitimate interests for general business correspondence and website operation, contract for delivering services to schools, consent (managed by the school via our platform) for filming and using a pupil’s likeness, and legal obligation where we are required to retain or disclose information by law.

5. Sharing your information

We do not sell personal data. We share data only with vetted service providers who support our work — secure cloud storage, encrypted file delivery and our consent platform — all under appropriate data processing agreements. Footage is delivered to schools through private, password-protected links and is never published publicly without explicit written permission.

6. Storage, security and retention

All footage and personal data are stored encrypted on UK or EU-based servers. Access is restricted to authorised crew on a need-to-know basis. Raw footage is retained only for as long as is necessary to deliver the project and handle any reasonable follow-up requests from the school, after which it is securely deleted in line with our retention schedule.

7. Children’s data and safeguarding

We take particular care with data relating to children. Our entire workflow is built around UK GDPR and DfE safeguarding guidance, our crew is DBS-checked, and our work is overseen by an independent safeguarding advisor. Any pupil without parental consent is digitally removed or has their identity obscured in the final film.

8. Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict or object to processing of your personal data, and to data portability. To exercise any of these rights, please contact us using the details above. You also have the right to lodge a complaint with the Information Commissioner’s Office (ico.org.uk).

9. Cookies

Our website uses a small number of strictly necessary and analytics cookies to keep the site working and to understand how it is used. No advertising or third-party tracking cookies are set without your consent.

10. Further information for schools

Further information on our policies during filming, on-site safeguarding procedures and the handling of recorded data is available for school admins and teachers on request. If you would like a copy of our school-facing data processing notes, safeguarding statement, or details of our consent platform, please just ask — we are happy to share these with you.

11. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or the law. The “last updated” date at the top of this page will always indicate when it was most recently revised.
